Terms & Conditions


    1.    Accuracy of information

    ·        Although every effort is made to ensure the accuracy of the information in our brochures, on our web sites and on printed material, The Wales Golf Holiday Company Ltd (hereinafter WGH) cannot accept responsibility for any errors or omissions and furthermore it reserves the right to vary, amend or cancel any of the packages advertised

    ·        WGH will endeavour to inform the Tour Organiser (hereinafter TO) of major changes to accommodation and golf courses, however, some changes regarding venue, condition, standard and facilities may not be available at the time of booking nor at the time of the golf break. WGH cannot be held responsible for the effect of such changes on the golf holiday

    ·        Whilst we make every effort to validate the standard and availability of facilities at the venue you have booked, please note that we are acting as agents for that venue. If you have a complaint during your stay please contact the appropriate duty manager. Please also advise us in writing of your comments/issue or complaint

    2.    Confirmation of booking

    ·        Enquiries and replies are considered as provisional unless or until a deposit is paid to WGH. Upon arrival of the deposit, the TO, acting on behalf of the party, will be sent a receipt, confirmation and information pack. A unique booking reference number will be assigned and the TO will be required to sign and return the booking authorisation form. The same is usually sent via Royal Mail. Please advise if an alternative method is preferred

    ·        The booking, including the specified accommodation, tee times and (if arranged on an exceptional basis) transport, will then be secure and any changes thereafter are subject to availability and possible price variation

    ·        Please note however that in some (though infrequent) circumstances, tee times and accommodation requested and as agreed at booking stage may change consequential on information received from the Golf Club(s) and/or accommodation provider(s). Suitable alternatives will be researched and a resolution will be sought with the TO

    ·        Please note that WGH acts as an agent in the organisation and discharge of your golf break. Accordingly, we accept no liability for anything that goes wrong with your booking, nor associated compensation claims, unless it is caused by our own negligence  

    3.  Terms of payment

    ·        The booking is made secure on the payment of the appropriate deposit which is usually £25 per head though this may vary dependent on the duration of the booking and/or the package price. Thereafter confirmation correspondence (as above), will be sent to the TO of the party. Please also note that in some circumstances a higher deposit may be required where an accommodation provider or golf club have specific booking terms

    ·        The favoured and most preferred payment method is online through internet banking (24hrs a day). We can also accept a cheque (drawn on a UK Bank) for the balance made payable to “Wales Golf Holidays” in addition to some types of payment cards.

    ·        The remaining balance is due 30 days prior to the commencement of the break. In respect of late bookings full payment is required where bookings are made within 30 days of the commencement of the break.

    ·        Should the outstanding balance remain past the due date, and unless otherwise instructed, the TO hereby authorises WGH to take the balance payment from the card supplied at booking stage. If no card details are held and the balance is not paid by this time, or within a timescale agreed by WGH, then the golf break is at risk and will be cancelled with the subsequent loss of deposit. On receipt of full payment the final travel documentation including pre-paid vouchers will be sent via Royal Mail (or if instructed otherwise by electronic alternative) around 2 weeks prior to departure

    4.  Pricing principles

    ·        Golf breaks/holidays/tours are usually quoted to include B&B accommodation (based on 2 sharing a twin or double room), green fees, standard rate tax and for weekday stays.

    ·        Dinner, single room (or double room as single occupancy) and weekend supplements apply

    5.    Codes of conduct, standards of dress and etiquette

    ·        Accommodation providers and Golf Clubs registered with WGH have their own codes of conduct and standards of performance. Golf Clubs enforce dress code and playing standards (some require handicap certificates)

    ·        At all times party leaders should ensure that their party members comply with these local rules

    ·        In general Golf Clubs will not allow: denims, trainers, sleeveless and collarless shirts, non- tailored shorts, combat fatigues, track suits, rugby style shirts, zip up jackets nor men’s facial jewellery   

    ·        If members of the party do not have a CONGU registered handicap certificate (or CDH number) nor belong to an affiliated Golf Club, then the lead person should check with WGH. The minimum requirements for all golfers in a party will be: they play to a standard of no worse than 28 handicap (men) and 36 (ladies), have their own equipment, have the proper attire and understand the rules & etiquette of the game

    ·        Courtesy and respect should be displayed at all times in the hotel and on the golf course

    ·        Inappropriate behaviour will not be tolerated by Accommodation providers nor Golf Clubs and punitive action taken by either is final and WGH will not be held responsible for the effect on the golf break should anyone in the party be asked to leave

    6.    Cancellations and amendments and reductions

    After the interim deposit has been paid but before the balance of deposit is due

    ·        To enable TO’s to identify numbers and collect individual deposits for certain groups an interim deposit of £100 can be paid so as to secure the itinerary. The golf break will be booked for the likely number attending. Should this reduce then the break will be changed up to and including the date by which the balance of deposit is due. Increases are subject to availability

    ·        The new balance of deposit will then be calculated and advised commensurate with the revised numbers

    ·        The cancellation of the whole golf break will result in the loss of the interim deposit

    After the full deposit has been paid but before the balance is due

    ·        The cancellation of the whole golf break will result in the loss of the deposit. Exceptionally the deposit may be transferred to another golf break as agreed between the TO and WGH

    ·        Reductions in numbers should be advised in writing and will lead to the loss of deposit of those cancelling. Furthermore, reductions may also warrant the forfeiture of group discounts and other concessions that were based on the original number in the party

    ·        Requests for increases in numbers should be advised in writing and will be subject to availability and a possible price change for those being added. An extra deposit commensurate with the additional numbers will be required

    After the balance has been paid and in addition to the above

    ·        The remaining balance is due 30 days prior to the commencement of the golf break. Any reductions in numbers after this time will result in 100% forfeit of those individual(s) break cost.

    ·        WGH will support an individual(s) travel insurance claim by written confirmation of forfeiture

    ·        Cancellation of the whole break will result in 100% forfeit of the total break cost

    ·        Once the Travel Pack (including pre-paid vouchers) has been printed and issued any subsequent amendments resulting in a change to the pre-paid vouchers are subject to an amendment fee of £20 and voucher reissue fee of £10

    ·        As with all holiday travel WGH recommends that golfers have appropriate insurance to cover eventualities including cancellation, accidents, illness and public/other contingent liability 

    7.    Other conditions / issues

    ·        General conditions/winter weather: Annual maintenance and renovation programmes are an essential feature of golf course preparation (inter alia: hollow tining, aeration, top dressing). At times temporary greens and tees may be in play and WHG cannot be held responsible for the effect of these programmes and general weather conditions on the golf break. During particularly inclement weather a golf course may be officially “out of play” or closed, in such circumstances an appropriate refund will be sought by WGH from the Golf Club and retrospectively paid to the TO where appropriate

    ·        Playing format: Usually 3 or 4 players per tee time playing their own ball. If a different format is required please check with WGH or the Golf Club concerned. Exceptionally some Golf Clubs have a pairing rule whereby a tee time of 3 players or less will be paired up so as to make 4 players

    ·        Slow play: Slow play is to be avoided at all times

    ·        Mobile phones: Restrictions will be in place please refer to local rules

    ·        Unforeseen events: Please note that any losses, accidents, or similar untoward occurrence that take place during your golf break are not the responsibility of WGH
